The Peter Courtney Health and Wellness Center (HWC) is the primary recreation facility on Western Oregon University’s campus.
Faculty, Staff, and Students
The Student, Staff and Faculty Membership gives members access to everything located in the Health and Wellness Center. This includes Climbing Wall, Aquatic Center, Lower Courts, Indoor Track, Weight Room, Cardio Equipment, Fitness Classes and Racquetball Courts.
Membership options - WOU
Eligibility
Students
There are three student membership categories as follows:
- Student – Students who are currently actively taking on-campus classes and paying full student incidental fees are automatically members of the Health and Wellness Center (HWC).
- Online Student – Students who are currently taking only online classes are eligible to purchase an HWC membership for the current term.
- Plus One Student – Students who were enrolled in the previous term and were paying WOU student incidental fees are eligible to purchase a Plus One Student pass that extends their eligibility with WOU for the one subsequent term. The extended HWC membership provides access to all the programs Campus Recreation oversees (Facility access, Intramural Sports, Club Sports, Fitness, Outdoor Trips, i.e.).
Faculty/Staff
Current faculty/staff members of WOU are eligible to purchase an HWC Faculty/Staff membership through payroll deduction. WOU Faculty/Staff who are also students must purchase the Faculty/Staff membership in order to use the facility unless they are paying full WOU student incidental fees. This pass is available to purchase through your WOU Portal.
Faculty, Staff and their families are also eligible to purchase a community membership. See Community section below for more information.
Partner
A partner is the legal spouse of an eligible student, faculty, or staff member.
Dependents
A person who qualifies under IRS guidelines as the legal dependent of a student, faculty, or staff member who has a current HWC membership may be eligible to purchase an HWC Dependent membership. The following eligibility rules apply to dependents:
- Ages 0-15 Dependents ages 0-15 are not eligible for membership but may participate during specific Youth Access Hours (see Youth Access Guidelines) by purchasing a community pass or daily pass.
- Ages 16+ Dependents ages 16+ are eligible to purchase an HWC Dependent membership. Dependents ages 16+ are eligible for most services, programs, trips, or classes with the exception of specifically designed, age-appropriate programs.
Unique Access
HWC allows access to facilities for visiting individuals or groups and limited-duration employees or volunteers who do not qualify for a WOU ID card. Mechanisms for creating access vary depending on the requestor’s situation. Contact the Campus Recreation Director to discuss the specifics of your situation.

Assumption of Risk
- Regardless of the activity, all participants must understand they are assuming the risk when they take part in an active recreation program.
- Each person must be aware of this assumption of risk and recognize that his or her participation is voluntary.
- Each participant also has a responsibility to use prudent and ordinary care in his or her actions.
- These risks could include but are not limited to muscle cramps, nausea, fainting, abnormal blood pressure, chest discomfort, and even death.
- Individuals are encouraged to have a physical examination and obtain adequate health and accident insurance prior to participation in any recreational and fitness activities.
Payroll Deduction
- Payroll deduction membership is deducted each month over the membership period.
- Two options are available for purchase. $40/month gets you access to the Health and Wellness Center during all operational hours. $20/month gets you access to the Health and Wellness Center from opening to 1pm, Monday – Friday only.
- Memberships are available to purchase through your portal in WolfWeb under Health and Wellness Center Menu.
- The payroll deduction payment method is designed for long-term membership commitment and should not be stopped except for documented illness, injury, termination of employment, pause in employment (such as summer break or 10-month staff position ends over summer), or relocation out of the Monmouth area.
- Non-use of the facility does not qualify as an above circumstance.
- Membership cancellation processes are handled at the Health and Wellness Center’s front desk or via email at campusrec@wou.edu.
Refunds
- Once you have applied the Health and Wellness Center non-student membership charges, you are responsible for payment. To cancel your non-student membership please visit the HWC front desk.
- The purchase of locker service is non-refundable. Locker transfers are available upon request.
- Special circumstances such as medical issues, leaving the university, or emergency situations may justify an exception to the general rule and will be handled on a case-by-case basis if immediate notification is given.
- The non-use of the facility does not qualify as a special circumstance.
- Refunds are first applied to the student/WOU account balance. If a zero balance is present a check will be mailed.
Member ID
- To enter the Health and Wellness Center, members must have their current Western Oregon University or HWC ID card.
- The HWC ID cards are issued to Partners and Dependents 16+. The first HWC ID card is provided at no charge. Upon renewal, the original card will be activated.
- If an HWC ID card is lost or stolen, the member must purchase a new card for replacement at a cost per Western Oregon University’s Photo ID Card replacement cost of $15.
- If you lose your WOU ID card, you may get a replacement at the Werner University Center Information Desk for a $15.00 fee.
- Persons who are caught fraudulently using an ID card other than their own will be denied entrance, the ID card will be confiscated, and both the individual and owner of the card may face disciplinary action and may be trespassed from the facility.
Biometric Access
- Current students, faculty, and staff members may elect to activate their fingerprint in their member account as a backup form of access if they forget their WOU ID card. If their fingerprint does not work or allow access to the current student, faculty, and staff member should have their WOU ID card to gain access to the facility.
- Users must understand biometric devices do not always read an individual’s fingerprint accurately or at all due to a number of issues. Due to this unreliability, we only use the biometric access system as a backup device and have your WOU ID card available.
Forgotten ID
- A student or HWC member who forgets their ID card or otherwise seeks to use the Health and Wellness Center without ID must go to the HWC Front Desk to request authorization for admission. Upon review of active membership status, the individual will fill out the required documentation.
- A maximum of 1 “forgotten ID” instance per term will be permitted – if this maximum is exceeded the individual’s membership will be suspended. The suspension will last until the following term. No membership refunds will be given for a suspended membership.
Entry
- For entry to the facility and events, members must have a current WOU or HWC ID card or have purchased a guest pass.
- Spectators are allowed to enter the facility free of charge to observe participants in scheduled, fee-based, non-academic instructional or sports programs.
- Entry may be refused or privileges suspended or revoked with sufficient cause.
- Individuals using an ID other than their own to gain access to the Health and Wellness Center may have privileges suspended for both the individual using the false ID and the valid member.
Guest Pass - WOU
Requirements
- The current WOU students, faculty, or staff must complete a Guest Pass form for guests to be allowed entrance.
- HWC staff reserves the right to deny access to a guest.
- See Youth Access Hours for youth 15 years of age and under.
- Non-WOU Community members are not permitted to solicit students or members to sponsor access to the facility.
- The member is fully responsible for their guests. Failure to follow member guidelines and responsibilities will result in the loss of privileges of the facility. No refunds will be given.
- Intentional destruction of property by any guest or member will be charged to the sponsoring member for the amount equal to the replacement of the property.

The Community Membership gives members access to the Climbing Wall, Aquatic Center, Lower Court, Indoor Track, and Racquetball Court during predetermined hours. The remaining areas within the HWC are limited to WOU students, faculty, and staff usage.

As a community member, you have the opportunity to purchase a Community Membership or day pass. The Community Membership gives you access to the following:
- Aquatic Center during all operating hours
- Climbing Wall during all building hours and top rope hours
- Lower Court on weekdays from open-1pm and all weekend hours
- Indoor track and racquetball courts all operating hours

Registration process
- Community memberships may be purchased at the Front Desk of the HWC (Peter Courtney Health and Wellness Center) and are good for an entire term.
- The community membership is good for unlimited participation.
- Payment for memberships can be made with exact cash and checks (payable to Western Oregon University) at the HWC Front Desk.
- Each member age 16 or older must have their own current COMMUNITY ID membership card to access and use the facilities.
- Each member age 16 or older will obtain a COMMUNITY ID card from the HWC Front Desk, which they will receive upon paying for their membership.
- The first COMMUNITY ID card is issued at no cost. Upon renewal, the original card will be activated.
- If a COMMUNITY ID is damaged beyond usage, lost, or stolen, the member must purchase a new card for replacement at a cost per Western Oregon University’s Photo ID card replacement cost of $15.
- The ability to pay per use is also available at the HWC Front Desk. Each guest must sign a waiver and pay the drop-in fee. Exact cash or checks made payable to WOU at the HWC Front Desk.
Refunds
- To cancel your community membership please visit the HWC front desk. Campus Recreation’s refund policy is consistent with the Business Office Refund schedule.
- Purchase of locker service is non-refundable. Locker transfers are available upon request.
- Special circumstances such as medical issues, leaving the university, or emergency situations may justify an exception to the general rule and will be handled on a case-by-case basis if immediate notification is given.
- Non-use of the facility does not qualify as a special circumstance.
- Refunds are first applied to your account with WOU Campus Recreation. Cash/check refunds can be requested however, this process can take up to three months for processing
- Individuals using an ID other than their own to gain access to the Health and Wellness Center may have privileges suspended for both the individual using the false ID and the valid member.
Daily Use Pass - Community
Requirements
- The community member must complete a daily waiver form at the front desk to be allowed entrance at the beginning of each visit.
- HWC staff reserves the right to deny access to a guest.

- Community members are not permitted to solicit students or members to sponsor full access to the facility.
- Failure to follow member guidelines and responsibilities will result in the loss of privileges of the facility. No refunds will be given.
- Intentional destruction of property by any guest or member will be charged to the sponsoring member for the amount equal to the replacement of the property.
Community daily pass gives you access to the following:
- Aquatic Center during all operating hours on the day of purchase
- Climbing wall for bouldering and top rope on the day of purchase
- Indoor track and racquetball courts all day on the day of purchase
- Lower court all day on weekends and open – 1pm on weekdays on the day of purchase
The daily pass will be paid cash or check at the HWC front desk.
