Responsibility Dissemination

Registrar

Course registration can be difficult in terms of understanding when CTL can be involved in a technical support ticket inquiry or not. If students reach out about being dismissed from a class or seeming to not be registered in a class, these are challenges that we are not able to appropriately solve without the insight of the Registrar’s office. Request Forms are the only way the CTL team can confirm that a student belongs in a course. If an inquiry ever comes to you as a professor where there is reasonable doubt about a student’s current academic standing or status, redirect your questions to the registrar to better understand if the student belongs or doesn’t belong in a course before inquiring with CTL about making any changes.

University Computing Solutions (UCS)

The University of Computing Solutions is a department that handles technology support relating to issues outside of Canvas. These types of troubleshooting can be hardware related or software related. The exception is that UCS does handle all login issues, including users who are having trouble logging into Canvas. There are many instances where instructors with support inquiries are unsure which department to touch base with. If you are unsure about which department to seek support from, please do not hesitate to reach out for us to direct you as needed and further discuss if technical obstacles fall under our jurisdiction and responsibility or should be investigated further by UCS.

For more information about UCS visit their website.

Course Shell Generation

At Western Oregon University, courses are managed through the Student Information System (Banner), overseen by the Registrar’s Office. Each course is assigned a unique Course Registration Number (CRN) and automatically gets a Canvas shell—an empty Canvas course—whether it’s being taught online or in person. Six weeks before the start of the term, University Computing Solutions (UCS) generates the live Canvas courses, which will appear on your Canvas dashboard or course list. Enrollments for both students and instructors are automatically synced between Canvas and Banner by a script that runs multiple times per hour, ensuring that enrollment data stays up-to-date.
